  • Bayview Vision | Leaside, Toronto, ON Job Type: Full-Time | In-Person

    Compensation: $18.00 – $25.00/hr

    Reports To: Patient Care Supervisor / Operations Lead

  • The Patient Care Coordinator is the welcoming face of Bayview Vision – the first person patients see and the last impression they leave with. This role combines warm, professional patient interaction with a broad range of administrative responsibilities to keep our clinic running smoothly. The ideal candidate is organized, proactive, and genuinely passionate about delivering an exceptional patient experience.

  • Patient Experience

    • Greet and welcome patients with warmth and professionalism

    • Manage check-in and check-out efficiently and accurately

    • Encourage patients to pre-book their next appointment before leaving

    • Actively promote our patient referral program and invite patients to refer friends and family

    Scheduling & Communication

    • Answer phones, schedule appointments, and respond to inquiries via phone, email, and text platforms

    • Confirm upcoming appointments according to clinic protocol

    • Perform patient recall outreach and convert recalls into booked appointments

    • Identify and resolve scheduling conflicts proactively

    Clinical & Administrative Support

    • Prepare clinic systems and patient records for daily appointments

    • Verify patient insurance eligibility and maintain accurate records

    • Support pre-testing workflows and assist the optometrist as needed

    • Manage contact lens order follow-ups, form completion, and file transfers

    • Respond to patient inquiries and handle front desk correspondence

    • Conduct inventory checks and flag supply needs

    Billing & Payments

    • Process payments and manage direct billing with insurance providers

    • Follow up on outstanding balances and respond to patient payment inquiries

    • Email invoices, tax receipts, and prescriptions as required

    Performance & Process

    • Track and submit weekly and monthly KPI data

    • Follow clinic protocols consistently and contribute to process improvement

  • Required:

    • Secondary school diploma or equivalent

    • Minimum 1 year of customer service experience

    • Strong communication, organizational, and multitasking skills

    • Professional, warm, and patient-centered demeanor

    Preferred:

    • Experience in a medical or healthcare office setting

    • Familiarity with EMR and practice management platforms

    • Knowledge of insurance direct billing and OHIP processes

    • Flexible scheduling

  • In-person clinic role. Bayview Vision operates Monday to Saturday and includes front desk support for our Vision Therapy department.
